Microsoft Campus Agreement
General information
Technical University of Applied Sciences Augsburg joined the federal contract for the Microsoft Enrollment for Education Solution (EES) on 1st of May 2021. This accession is referred to below in simplified form as the Microsoft Campus Agreement. The rental agreement has a term of one year and is regularly extended as required by resolution of the responsible committees.
The previous Microsoft Select Plus contract continues to exist and can be used for licence purchases outside of the Microsoft Campus Agreement. In some cases, however, purchasing licences via Microsoft Select Plus (via the LRZ) is no longer necessary as the licences are already included in the Microsoft Campus Agreement (e.g. Microsoft Windows 10 Education). Participating institutions and beneficiaries
The Microsoft Campus Agreement was concluded based on the number of all employees (EQU) and students at Technical University of Applied Sciences Augsburg. In principle, all faculties and central facilities such as the administration, library and computer centre participate in the agreement.
Services
Licensing (user-based) is billed on the basis of the total number of employees (EQU) and students at Technical University of Applied Sciences Augsburg. On the basis of this full licence, the licensed software can be used on all devices owned by Technical University of Applied Sciences Augsburg. The conditions described below apply.
Based on the full licensing of the Technical University of Applied Sciences, the Microsoft Campus Agreement also enables the use of the so-called Student Advantage Benefit or Teacher Benefit at no additional cost.
A distinction is made between business and private use of the licences and benefits.
Within the scope of the Microsoft Campus Agreement, business use includes all devices belonging to Technical University of Applied Sciences Augsburg. Further information on business use can be found in the Business use section.
Active students and employees have the opportunity to use "Microsoft 365" for their private devices via the so-called Student Advantage Benefit or Teacher Benefit. Further information on Microsoft 365 can be found in the Microsoft 365 Apps section.

Usage guidelines for Microsoft Cloud Storage Services at Technical University of Applied Sciences Augsburg
- The use of Microsoft's cloud storage services by the user is carried out in compliance with the 'Directive for Use' (in particular Section 4) and the 'Security Concept for Information Classification' (in particular Chapter 4) of the Technical University of Applied Sciences Augsburg (in particular Chapter 4).
- The Technical University of Applied Sciences Augsburg therefore prohibits the user from using the cloud storage services of Microsoft for data with the following information:
a) data containing information that may cause damage or liability to the university if publication or loss may result in any damage or liability of the university, as well as personal data for which compliance with the regulations of data protection or the fulfilment of information obligations cannot be guaranteed. As a rule, such data is only accessible to those university members whose knowledge is regularly required to process the relevant information and the related process ('HSA confidential' classified data).
Examples of this would be:
- Personal data (presetting lists or lists of participants of an event)
- Travel or payroll statements (financial data, social data, data related to the personnel file)
- Research data that is not currently intended for the public
- Technical data (construction plans of sensitive rooms; network plans)
- Protected data (sick notifications, draft certificates, study papers, contracts, “managed”)
- Examination (expert opinions and corrections)
b) data containing information that must prevent unauthorised inspection. This includes, in particular, information to be kept secret due to contractual obligation or information that is subject to the duty of confidentiality. As a rule, data with such information is only accessible to a group of people defined and documented by the information owner ('strictly confidential' classified data).
This includes, for example, data from cooperation with third parties (state institutions, research institutions, companies) from an official or contractual obligation. - In order to avoid the unintended loss of trustworthy information, data is classified as 'HSA confidential' data in case of doubt, making it not suitable for storing in external cloud stores.
- If files are shared with others, the required shares must be restricted to the necessary one and checked semi-annually by the user.
- Data stored in the cloud storage service and still required must be secured by the user independently and stored in internal storage services by the user before leaving the Technical University of Applied Sciences Augsburg. For technical reasons (lack of access rights), Technical University of Applied Sciences Augsburg cannot provide support for the migration of data.
- Without prejudice to the regulations of the GDPR or other legal regulations, Technical University of Applied Sciences Augsburg is not liable for lost data, in particular not for the loss of data resulting from the departure of a person from the Technical University of Applied Sciences Augsburg. A backup of the data stored in the Microsoft cloud storage services by the Technical University of Applied Sciences Augsburg does not take place.
Microsoft 365 Apps (Office 365)
As part of the Microsoft Campus Agreement, students and staff have the opportunity to use certain licenses and services.
Opt-in/opt-out Microsoft account "Microsoft 365 Sync"
In your datacenter identification data, you can use the "Microsoft 365 Sync" option to specify whether or not you want the Microsoft 365 account (required to use Microsoft 365). Changes can take up to 30 minutes. Please back up your data before setting to "no" which is located at Microsoft, as your Microsoft account will be deleted.
Active employees and professors are synchronized by default, but have the option of opt-out.
Active lecturers and students are not synchronized and have the opportunity to opt-in.
Reference/use
To obtain the M365 apps and use other services, you can register on the https://portal.office.com/ page with your university email address and password (from the data center ID). For this purpose, the above-mentioned option "Microsoft 365 Sync" must be set to "yes".
The following services are offered:
- M365 local installation apps (e.g. Office 365)
- the Microsoft Office Web application (less functions than installed)
- SharePoint/OneDrive
Note: please regularly save the data stored in the Microsoft cloud independently!
The "use policies for Microsoft Cloud Storage Services at Technical University of Applied Sciences Augsburg" apply above, which must be confirmed at the first login to the Microsoft Office portal in order to use the services.
Ensure that you are using a currently supported operating system and meet the system requirements. Information on this can be found under Resources for Microsoft 365 and Office . (Windows 7 is no longer supported)
Troubleshooting / Possible problems
If no license can be obtained for an already installed and/or used MS Office/Office 365, the following could help:
- If the account change dialog does not appear in Office 365, it is described here how to get there: Link
- Possibly Office 365 comes confused with old Microsoft accounts still stored in Windows. These can be found via the "Login information management" or. English the "Credential Manager" are found and removed from the computer: PC
- There can also be references to old Microsoft accounts previously used on the computer elsewhere and must be manually "separated": PC & Mac
- In the case of authentication errors (e.g.: with the OneDrive app), old identities may still be stored in the registry and must be removed: PC
- If older MS Office applications are/were installed, complete removal of all MS Office components (possibly manually, see option 2) and then reinstalling any problems that may be resolved: PC / Mac
- It may also be that antivirus or Internet security software, the login and thus the license reference of a locally installed Office 365, disturbs. Please temporarily disable such software to see if it is because of it.
- If there are problems with license receipt, although the account has been entered and the terms of use have been accepted, it can help to terminate all Office 365 programs or restart the computer (not shut down and switch it back on!)
End of subscription
Your Office 365 subscription is only for the duration of your studies or Your employment relationship.
With the course of your studies or You lose access to the Office portal and all Microsoft services and data stored there.
If reports on the indify Microsoft account still appear under Windows, it can be disconnected under the "Windows Settings" -> "Accounts" -> "Recontact Work or School Account".
